Job Title: Payroll Specialist
Duration: 12-month Contract
Location: Appleton, WI 54911
Pay Rate: $22/hr - $23/hr

We are seeking a Union Payroll Specialist responsible for processing weekly union payroll, maintaining payroll records, ensuring compliance with union agreements and government regulations, and providing exceptional support to employees and field teams.

Key Responsibilities
  • Coordinate with field management to collect and review union new hire paperwork, ensuring all documentation is complete and accurate.
  • Create and maintain union employee records within the ERP system, including employment status updates, terminations, disciplinary actions, and severance information.
  • Review field time entries for accuracy, verifying hours worked, union classifications, pay classes, and per diem before payroll processing.
  • Process weekly union payroll and off-cycle payrolls by importing and validating time records while ensuring accurate calculations of wages, deductions, garnishments, union contributions, and payroll taxes.
  • Ensure payroll is processed accurately and employees are paid on schedule.
  • Prepare monthly union remittances by calculating contributions, reconciling accrued liabilities, and submitting payments to the appropriate union benefit funds.
  • Generate payroll reports, verify data accuracy, and resolve discrepancies to support compliance and recordkeeping requirements.
  • Respond to employee and management inquiries regarding payroll, deductions, and union-related matters.
  • Submit required new hire reports to state agencies.
  • Process child support orders, wage garnishments, and other court-ordered deductions in accordance with applicable regulations.
Qualifications
  • High school diploma or GED required.
  • Minimum of 3 years of payroll experience required.
  • Experience processing union construction payroll strongly preferred.
  • Experience with Oracle or other enterprise ERP/payroll systems preferred.
  • Strong knowledge of payroll regulations, taxes, deductions, and compliance requirements.
  • Excellent organizational, analytical, and problem-solving skills with exceptional attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, particularly Excel, including the ability to manipulate and analyze payroll data.
